Setting Up Google Workspace with Your Domain

Domain Management4 min read·

This article shows you how to set up Google Workspace (Gmail for business) with your custom domain hosted on Web60.

Before You Start

You need:

  • An active Google Workspace subscription
  • Your domain connected to Web60
  • Access to your Web60 portal

Google Workspace requires specific DNS records to work with your domain. Web60 handles the technical setup through your portal.

Step 1: Get Your Google Workspace MX Records

  1. Log into your Google Workspace admin console
  2. Go to Apps > Google Workspace > Gmail
  3. Click "Advanced settings"
  4. Find "MX records" section
  5. Copy all the MX record values Google provides

Google typically provides 5 MX records with different priority numbers. Write these down exactly as shown.

Step 2: Access Your Web60 DNS Settings

  1. Log into your Web60 portal
  2. Find your domain in the dashboard
  3. Click "Manage Domain"
  4. Select "DNS Settings" or "Domain Management"

If you need help finding these settings, check our guide on managing DNS settings for your domain.

Step 3: Add the MX Records

  1. In your DNS settings, look for "Add Record" or "New Record"
  2. Select "MX" as the record type
  3. For each Google MX record:
    • Leave the "Name" field empty or put "@"
    • Enter the mail server (like "1 aspmx.l.google.com")
    • Set the priority number Google specified
    • Click "Add" or "Save"
  4. Repeat for all 5 MX records

Step 4: Remove Existing MX Records

If you see other MX records (like Web60 default email records):

  1. Select each old MX record
  2. Click "Delete" or the trash icon
  3. Confirm the deletion

Keep only the Google Workspace MX records.

Step 5: Add TXT Verification Record

  1. In Google Workspace admin, find your domain verification TXT record
  2. Back in Web60 DNS settings, click "Add Record"
  3. Select "TXT" as record type
  4. Leave "Name" empty or enter "@"
  5. Paste Google's verification code in the "Value" field
  6. Save the record

Step 6: Wait for DNS Propagation

DNS changes take time to spread across the internet:

  • Changes usually take 1-4 hours
  • Can take up to 24 hours in rare cases
  • Your old email might still work during this time

Step 7: Test Your Email

  1. In Google Workspace admin, click "Verify domain"
  2. Send a test email to your new address
  3. Try sending an email from your Google Workspace account

If emails aren't working after 4 hours, double-check your MX records match Google's requirements exactly.

Common Issues

Email not receiving: Check MX record priority numbers match Google's specifications exactly.

Domain verification fails: Ensure the TXT record value has no extra spaces or characters.

Some emails missing: Remove all old MX records. Multiple MX records can split incoming mail.

For detailed MX record configuration help, see our MX records setup guide.

If you're still stuck, contact Web60 support through your portal. Include your domain name and any error messages you're seeing.

FAQ

Q: How long does Google Workspace take to work with my domain?

A: DNS changes typically take 1-4 hours to complete. Google Workspace should work fully within 24 hours of adding the MX records correctly.

Q: Will I lose my existing emails when switching to Google Workspace?

A: No, but emails sent to your old email system during the switch might not reach Google Workspace. Plan the switch during low-email periods if possible.

Q: Can I keep some email addresses on Web60 and others on Google Workspace?

A: No, MX records control where all email for your domain goes. All email addresses for the domain must use the same email system.

Q: What if I delete the wrong MX records?

A: Contact Web60 support immediately. They can restore your previous email settings if needed.

Q: Do I need to change anything in WordPress after setting up Google Workspace?

A: WordPress will continue working normally. If you use contact forms, they should still send emails properly once Google Workspace is active.

Q: Can I use Google Workspace with multiple domains?

A: Yes, but you need to add MX records for each domain separately. Set up each domain individually in both Google Workspace and Web60.

Q: What happens if my Google Workspace subscription expires?

A: Your custom domain emails will stop working. You'll need to change the MX records back to Web60's email system or renew Google Workspace.
