Setting Up Domain-Based Email Routing

Domain Management4 min read·

This guide shows you how to set up email routing for your custom domain so emails sent to your business address reach the right inbox.

Email routing lets you use your domain name for email addresses (like hello@yourbusiness.ie) while forwarding those messages to your existing email account. This gives your business a professional appearance without needing to change your current email setup.

Step 1: Access Your Domain Management Area

Log into your Web60 portal and click on "Domains" in the main menu. Find your domain name in the list and click "Manage DNS" next to it.

If you don't see your domain listed, you may need to connect your custom domain to Web60 first.

Step 2: Configure Your MX Records

MX records tell other email servers where to send emails for your domain. Click "Add Record" and select "MX" from the dropdown menu.

Enter these details:

  • Name: Leave blank or enter "@"
  • Priority: 10
  • Value: The mail server address provided by your email service

If you're unsure what mail server to use, contact your email provider. Common examples include "mail.yourdomain.ie" or your email provider's server address.

For detailed MX record setup instructions, see how to configure MX records.

Step 3: Set Up Email Forwarding Rules

In the same DNS management area, look for "Email Forwarding" or "Mail Forwarding" settings. Click "Add Forward" to create a new rule.

Enter the email address you want to create (like info@yourbusiness.ie) in the "From" field. In the "To" field, enter your existing email address where you want to receive these messages.

You can create multiple forwarding rules for different addresses like sales@, support@, or contact@yourbusiness.ie.

Step 4: Wait for DNS Propagation

DNS changes take time to spread across the internet. This process, called propagation, usually takes 1-24 hours but can take up to 48 hours in some cases.

During this time, some emails might not reach you yet. Don't make additional changes during propagation as this can cause delays.

Step 5: Test Your Email Setup

Once propagation is complete, send a test email to your new business address from a different email account. Check that it arrives in your main inbox.

If emails aren't coming through, double-check your MX records and forwarding rules for typos. Make sure the priority number for your MX record is correct.

Troubleshooting Common Issues

If your email isn't working after 48 hours, the most common problems are:

  • Incorrect MX record priority numbers
  • Typos in email addresses or server names
  • Old DNS settings cached by your internet provider

If you're having ongoing issues, see our guide on email not working with custom domain for more troubleshooting steps.

If you're still stuck after trying these steps, contact Web60 support through your portal. Include your domain name and describe what emails you're trying to set up.

FAQ

Q: Can I create multiple email addresses for my domain?

A: Yes, you can set up as many forwarding rules as you need. Each rule forwards a different address (like sales@, info@, contact@) to your main email account.

Q: How long does it take for email forwarding to start working?

A: DNS changes typically take 1-24 hours to propagate globally. In rare cases, it can take up to 48 hours for all email servers to recognise your new settings.

Q: Will people see my personal email address when I reply?

A: When you reply to forwarded emails, the reply will come from your personal email address unless you configure your email client to send from your business address. Contact your email provider for help setting up custom "send from" addresses.

Q: Do I need to change my existing email account?

A: No, email forwarding lets you keep using your current email account. Messages sent to your business domain will simply be forwarded to your existing inbox.

Q: What happens if my MX record priority is wrong?

A: Email servers use priority numbers to decide which server to try first. If the priority is wrong, emails might go to the wrong server or bounce back to the sender.

Q: Can I forward one business email to multiple personal accounts?

A: Yes, most DNS providers allow you to forward a single business email address to multiple recipients. Separate the recipient addresses with commas when setting up the forwarding rule.
