Billing & Account4 min read·

This article explains how to export data from your Web60 account for accounting and record-keeping purposes.

Exporting Your Invoice Data

  1. Log into your Web60 portal using your account email and password
  2. Click on "Billing" in the left sidebar menu
  3. Select "Invoice History" from the dropdown options
  4. Click the "Export" button at the top right of the invoice list
  5. Choose your preferred format (PDF for individual invoices, CSV for bulk data)
  6. Select the date range you need for your accounting period
  7. Click "Download Export" to save the file to your computer

The CSV file contains invoice numbers, dates, amounts, VAT details, and payment status. This format works well with most Irish accounting software like Sage, QuickBooks, or Xero.

Downloading Usage Reports

  1. From your Web60 portal, go to "Account" then "Usage Statistics"
  2. Set the date range using the calendar picker
  3. Click "Generate Report" to create your usage summary
  4. Select "Download as PDF" or "Download as CSV"
  5. Save the file with a clear name like "Web60-Usage-Jan2024.pdf"

Usage reports show bandwidth, storage space, and any additional services used during the billing period.

Exporting Website Backup Files

If you need to keep copies of your website files for business records:

  1. Go to "Backups" in your Web60 portal
  2. Find the backup date you want to export
  3. Click the "Download" button next to that backup
  4. Choose "Complete Backup" for full website data
  5. The backup file will download as a ZIP file containing all your website files and database

For more detailed backup information, see How to Export Your Website Data.

Understanding Your Exported Data

Your invoice CSV will include these columns:

  • Invoice Number (for your accounting system reference)
  • Issue Date and Due Date
  • Net Amount (before VAT)
  • VAT Amount (23% for Irish businesses)
  • Total Amount
  • Payment Status and Payment Date

All amounts are shown in euros. The VAT number and business details match what you provided when setting up your account in How to Update Your Business Details.

Keeping Records for Revenue

Irish businesses must keep records for at least 6 years. Store your exported Web60 data alongside your other business records. The invoice exports include all required details for VAT returns and corporation tax filings.

Schedule regular exports (monthly or quarterly) rather than waiting until year-end. This makes your accounting workflow smoother and ensures you don't lose access to older data.

If you're still stuck or need data in a specific format for your accountant, contact Web60 support through the "Help" section in your portal.

FAQ

Q: Can I export data for previous years?

A: Yes, you can export invoice and usage data for any period since your account was created. Use the date range picker to select historical periods.

Q: What format works best with Irish accounting software?

A: CSV format works with most accounting packages including Sage, Xero, and QuickBooks. PDF invoices are better for filing individual records.

Q: Does the export include VAT details for Revenue returns?

A: Yes, all exports include VAT amounts, VAT numbers, and the business details needed for Irish VAT returns and corporation tax filings.

Q: How often should I export my data for accounting?

A: Export monthly or quarterly to match your accounting periods. This is easier than doing annual exports and ensures you have current records.

Q: Can I get data in a custom format for my accountant?

A: The standard CSV and PDF exports work for most needs. Contact support if your accountant requires a specific format or additional data fields.

Q: Are backup files needed for accounting records?

A: Backup files contain your website content, not billing data. You only need these if your accountant requires copies of business documents stored on your website.

Q: What if I need data from before I moved to Web60?

A: Web60 only has records from when your account started. You'll need to get historical data from your previous hosting provider or accounting records.
